How to use Voice Notes

Quick start

  1. Tap the microphone.
  2. Speak naturally.
  3. Review your tasks and tap Save.

Try: "Call the dentist tomorrow at 2pm and buy groceries next Friday."

1First launch

There's no account or sign-in. The first time you tap the microphone, iOS asks for Microphone and Speech Recognition access. Allow both so the app can hear you and turn your voice into text.

To get reminders, also allow notifications when asked.

2Capture by voice

Tap the microphone button and choose a mode:

  • Quick Task: say one thing and save it in seconds.
  • Brain Dump: talk through everything on your mind. The app splits it into separate tasks.

While you speak you'll see a live waveform and a timer. You can pause and resume. When you're done, tap Finish.

Speak the way you normally would. Saying a date or time with each task ("…on Monday", "…at 10") lets the app schedule it for you.

3Review before saving

Nothing is saved until you confirm. On the review screen you can:

  • Edit any task's text, date or time.
  • Split a capture into separate tasks, or keep it as a single note.
  • Merge related tasks into one.
  • Check highlighted items. The app highlights anything it's less sure about, and it catches impossible or past dates.

When everything looks right, tap Save.

4Dates and times it understands

  • Dates: tomorrow, next Friday, the 15th, March 15, end of the month
  • Times: at 10, 2pm, this evening

A task without a date goes to your Inbox, so you can schedule it later.

5Today, Upcoming and Inbox

  • Today: overdue tasks and tasks due today, in one place. Overdue tasks are shown in red.
  • Upcoming: future tasks, grouped by month. They move into Today automatically when their day arrives.
  • Inbox: tasks without a date, ready to schedule.

Working with tasks

  • Tap the circle to complete a task.
  • Tap the pencil to edit or reschedule it.

6Reminders

  • Tasks with a time: reminders the day before, 2 hours before, and at the time.
  • Tasks with only a date: a reminder the day before.

You can change reminder timing in Settings. Reminders are scheduled on your iPhone, so they work offline.

Not getting reminders? Check that notifications are allowed for Voice Notes in the iPhone Settings app.

7Settings

  • Theme: light, dark or system.
  • Language: English, Portuguese, Spanish, French or Arabic. You can speak and capture in any of them.
  • Reminders: choose when you're reminded.
  • Recordings: choose to delete recordings after they're processed.
  • Export your data: save all your tasks to a file you control.
  • Delete all data: permanently erase everything in the app.
  • Ad privacy choices: change your ad consent (EEA and UK).
  • Remove Ads: a one-time purchase. Restore it after reinstalling or on a new iPhone.

8Private by design

Speech recognition and task extraction run on your iPhone. On devices that support Apple Intelligence, on-device AI turns your speech into tasks. On other iPhones, a built-in extractor does the job, so every feature still works. Settings › Privacy shows which one your iPhone uses.

There's no account and no server. Your voice and tasks never leave your phone. Read the privacy policy.

9Questions

The app didn't catch a date correctly.
Fix it on the review screen before saving, or tap the pencil on the task later. Saying the date right after the task ("buy milk tomorrow") helps.
The microphone doesn't work.
Open the iPhone Settings app, find Voice Notes, and turn on Microphone and Speech Recognition.
Can I use it offline?
Yes. Capturing, saving and reminders all work on your iPhone. Ads need a connection.
What happens if I delete the app?
Your tasks are deleted with it. Export your data first if you want to keep a copy.
I bought Remove Ads but see ads again.
Use the restore option next to Remove Ads in Settings, signed in with the same Apple ID.
